About the Role

We’re looking for a friendly, organised and proactive person to join our Front of House team at Castleton Mill. This is a varied, hands-on role combining reception, tenant support, building operations and administration. You’ll be the first point of contact for our tenants and visitors and will play an important part in making sure the Mill is welcoming, well presented and running smoothly.

Front of House & Visitor Experience

  • Welcome tenants, visitors and contractors in a warm and professional manner.
  • Front of House cover as part of a two-person flexible rota between hours 8am-4.30pm
  • Respond to telephone calls, emails and the reception mailbox.
  • Manage post, deliveries, meeting room bookings, parking requests and key/fob requests.
  • Show prospective tenants around the building and available offices.
  • Provide a clear handover to the other Front of House team member.

Tenant & Community

  • Build positive relationships with our tenants and be a helpful first point of contact.
  • Support tenant communications and community initiatives.
  • Help organise tenant social events and seasonal activities.
  • Send building-wide communications covering operational updates and other important notices.
  • Help make Castleton Mill an enjoyable and well-run place to work.

Building Presentation & Tenant Experience

  • Maintain high presentation standards across reception, tea stations and other shared spaces.
  • Carry out regular housekeeping and quality-control checks throughout the building.
  • Monitor cleaning standards and liaise with tenants and our cleaning team where required.
  • Manage the tuck shop, including stock checks, ordering and introducing new products.
  • Arrange the weekly delivery for complimentary tenant breakfast items and fruit.

Building Operations & Facilities

  • Carry out daily building and health & safety checks.
  • Identify and report maintenance issues and help ensure they are followed through to completion.
  • Liaise with contractors and monitor the quality of completed work.
  • Support the Facilities Manager with routine fire alarm tests and records.
  • Monitor waste and recycling collections and liaise with contractors when necessary.
  • Assist with the daily opening and security of the building.

Access, Security & Technology

  • Act as a building keyholder and follow the building opening and security procedures.
  • Manage tenant and contractor access ncluding programming and auditing fobs.
  • Monitor car parks and deal with unauthorised parking appropriately.
  • Assist with CCTV monitoring where required.
  • Use our Yardi Kube system to help manage tenant WiFi and connectivity.
  • Deal with WiFi connectivity queries and raise support tickets to our technical support centre
  • Full training will be provided on our building, access-control and IT systems.

Administration

  • Process and forward invoices, credit notes and statements to our finance team.
  • Manage mail forwarding and virtual-office administration.
  • Maintain accurate Front of House records and bookings.
  • Work closely with the other Front of House member to ensure continuity throughout the week.

Working Pattern

  • The role is approximately 23 hours per week on average, based around 2.5 days per week as part of a two-person Front of House rota.
  • Full-day building coverage is generally 8:00am–4:30pm, with a longer crossover period on Wednesdays to allow both Front of House team members to work together on handovers, tenant matters and weekly operational tasks.
  • The two team members alternate the working pattern and are expected to provide reasonable flexibility to help cover each other's annual leave and sickness where possible.
  • All scheduled working hours are paid. The normal lunch break is 15 minutes, taken at a suitable time while maintaining Front of House cover.
  • There is a compulsory Christmas closure period which forms part of annual holiday entitlement.
